Who we are

Cariboo Gate Foundation (Cariboo Gate Foundation, “we”) is a registered Canadian charity based in British Columbia. We are responsible for personal information under our control and follow British Columbia's Personal Information Protection Act (PIPA).

Our Privacy Officer can be reached at [email protected] or 401-629 Lansdowne St., Kamloops, BC V2C 1Y6, Canada.

Information we collect

  • Donors: name, address, email, phone, gift amount and date, and payment confirmation (card details are handled by our donation platform, not stored by us).
  • Partners and grant-makers: contact details and correspondence.
  • Volunteers: contact details, interests, availability and, for some roles, reference or background checks.
  • Newsletter subscribers: email address and consent record.
  • Website visitors: basic, aggregated usage data (see Cookies & analytics).

How we use it

  • To process donations and issue official tax receipts, as required by the Canada Revenue Agency
  • To respond to enquiries and manage partnerships and volunteering
  • To send updates and fundraising appeals if you have not opted out
  • To meet legal, accounting and reporting obligations

We collect only what we need for these purposes, and we will ask for your consent before using your information for anything new.

By giving us your information for a stated purpose — for example, making a donation — you consent to its use for that purpose. You may withdraw consent at any time, subject to legal requirements (for example, we must keep donation records for CRA).

Sharing

We never sell, rent or trade personal information. We share it only with service providers who help us operate, under confidentiality obligations — such as our donation platform (CanadaHelps), email delivery and website host (Cloudflare) and accountant — or when required by law. Some providers may store data outside Canada; where this happens, your information is subject to the laws of that country.

Email communications

Our fundraising emails include a clear way to unsubscribe, and we honour requests promptly. For newsletters and other non-fundraising messages, we ask for your consent as required by Canada's Anti-Spam Legislation (CASL).

Retention

We keep personal information only as long as needed for the purposes above. Donation and financial records are kept for the periods required by CRA record-keeping rules (generally at least six years), then securely destroyed.

Security

We use reasonable safeguards — access controls, encrypted connections, strong passwords and limited access on a need-to-know basis — to protect personal information against loss, theft and unauthorized access.

Participants' stories & photos

Photos and stories of program participants in Uganda are published only with their informed consent (or a guardian's consent for minors), obtained by our partner in a language they understand. We do not publish identifying details that could put anyone at risk.

Cookies & analytics

Our website uses no tracking cookies. We measure visits with privacy-friendly, cookie-free server analytics, and we do not use advertising trackers.

Access & correction

You may ask to see the personal information we hold about you, how it has been used and with whom it has been shared, and ask us to correct it. Send a written request to our Privacy Officer; we will respond within the time required by PIPA.

Questions & complaints

Please contact our Privacy Officer first. If you are not satisfied, you may contact the Office of the Information and Privacy Commissioner for British Columbia.

Changes to this policy

We may update this policy from time to time. The latest version will always be posted here with its effective date.
